Policies

When you utilize your SSTC, you agree to our policies and procedures:

Students may use a total of 3 hours of in-person or online tutoring per week.

We strive to ensure that tutoring remains accessible to all students. A weekly limit of tutoring per student allows us to accommodate the needs of a larger student community. Thank you for understanding our commitment to providing support for all.

Students may not schedule back-to-back hours of tutoring unless approved by the SSTC.

Scheduling separate appointments throughout the week allows the student to effectively process the goals and accomplishments of one session and practice on their own between sessions.

Recurring weekly tutoring for the semester is available. Students are limited to one weekly recurring session per subject.

Additional tutoring appointments for the subject may be scheduled as one-time sessions.

Students are expected to follow the HGTC Computer Use Policy.

Because we serve a large number of students with limited resources and staff, it is important that students show up for scheduled sessions and do so in a timely manner. Tardiness will be regarded as an absence if the student is more than 5 minutes late for a 30-minute session or more than 15 minutes late for a 60-minute session. If a student is absent due to no-shows or tardiness for two scheduled sessions within a 30-day period, the student will be restricted from scheduling further sessions for 30 days from the date of the last absence.

We ask all students who have scheduled an appointment to provide NO LESS than 2 hours of cancellation notice or their visit will be counted as an absence.

Student Identification Policy for Accessing SSTC Services

This policy applies to all currently enrolled students at Horry Georgetown Technical College seeking access to tutoring and coaching services offered through the SSTC.

Policy Statement

  1. Required Identification
    • Students must present a valid HGTC Student ID or Government-issued photo ID (i.e. valid driver鈥檚 license with picture).
    • The ID must include the student鈥檚 full name and photo
  2. Privacy & Security
    • All student data used to verify identity will be handled in accordance with FERPA and institutional data privacy policies.
  3. Denial of Service
    • Students who cannot verify their identity will be denied service until verification is completed.

Exceptions to this policy may be made on a case-by-case basis for students with unique circumstances (e.g., displaced students, students with disabilities), coordinated by the DIrector of the SSTC.

Camera and Microphone Use Policy for Virtual Tutoring and Coaching

Purpose

To promote engagement, effective communication, and academic integrity during virtual tutoring and coaching sessions, students are expected to use both their camera and microphone when participating in scheduled online academic support services.

This policy applies to all currently enrolled students participating in:

    • Virtual peer or professional tutoring sessions
    • Academic coaching appointments
    • Success strategy sessions or workshops hosted online

Policy Statement

  1. Use of Camera and Microphone
    • Students are expected to have their camera turned on and microphone enabled during virtual sessions to foster interactive learning and communication.
    • Sessions are intended to simulate in-person academic support and depend on visual and verbal cues for effectiveness.
  2. Acceptable Accommodations and Exceptions
    • Students with documented disabilities or extenuating circumstances (e.g., limited access to private space, unstable internet, technology limitations) may request an accommodation by contacting the Director of the SSTC.
    • Accommodation may include:
    • Audio-only participation
    • Use of chat for responses
  3. Technical Support
    • Students who lack access to a camera and microphone may request one for loan from the SSTC.
  4. Session Etiquette
    • Students should be present in a distraction-free environment when possible.
    • Use of headphones is encouraged for audio clarity and privacy.
    • Participants are expected to remain visible and attentive unless otherwise arranged.

Per college policy, children under eighteen are not allowed in the tutoring center.
